Guiding Principles

Security-Focused Development
As a provider of data security solutions, PKWARE evaluates AI technologies through a security-first lens. AI components are incorporated into our existing product development, testing, and cybersecurity review processes.
We assess AI features for appropriate use, access controls, and protection against misuse.
Protection of Customer Data
PKWARE respects customer confidentiality and contractual commitments. Unless otherwise expressly agreed in writing:
- Customer data is not used to train external AI models
- Customer information is processed only as necessary to provide contracted services
We apply administrative, technical, and organizational safeguards appropriate to the nature of the data involved.


Responsible and Transparent Use
Where AI contributes materially to product functionality, we aim to provide clear descriptions of intended use and known limitations. AI-enabled features are designed to assist users and do not replace independent professional judgment.
Bias, Fairness, and Accuracy Mitigation
We recognize that AI systems can introduce biases, hallucinations, or inaccuracies. PKWARE evaluates AI components for potential biases in outputs, applies safeguards (such as diverse training data where applicable and ongoing testing), and limits use cases where risks are material. We promote fairness in AI-assisted decisions and encourage users to verify outputs.


Human Oversight
PKWARE maintains human involvement in the design, deployment, and governance of AI systems. We do not deploy AI systems as fully autonomous decision-makers in a manner inconsistent with applicable law or our contractual commitments.
Risk Awareness
We recognize that AI systems may present risks, including inaccurate or incomplete outputs. AI functionality is evaluated for appropriate use cases and may be adjusted, limited, or discontinued if concerns arise.

Use of Third-Party AI Technologies
Where PKWARE incorporates third-party AI technologies, we evaluate such technologies consistent with our security and procurement review processes. We do not knowingly integrate third-party AI services in a manner that conflicts with customer confidentiality obligations.
Internal Use of AI Tools
PKWARE personnel may use AI tools in accordance with internal policies governing security, confidentiality, and data handling. Employees are not permitted to input confidential customer data into external AI systems unless expressly authorized and subject to appropriate safeguards.
Governance and Accountability
Oversight of AI initiatives is managed by cross-functional teams including legal, security, product, and engineering leadership. We conduct regular risk assessments, internal reviews, and updates to align with evolving best practices. Employees receive guidance and training on responsible AI use, with adherence required under our security and confidentiality policies.

AI technologies and industry practices continue to evolve. PKWARE will update AI policy and related governance practices as appropriate.
